Setup your TransPDF account

If you haven't done so already, create your Transpdf account now. It's free and all you'll need to enter is your email address and a password.

Back in Trados Studio, enter your details into the Account Details section at the left hand side of the screen.

The public server address is https://transpdf.iceni.com. If your company uses its own server, enter that address here. Make sure to supply the full address including the https:// prefix.

Enter the email address and password you used when you created your TransPDF account then press the button to check everything is working.


Adding project watch folders

Click on the Requests tab then on the button to add a new watch folder.

After adding a folder, click in the Template column next to the folder you just added and choose a template. This template will be used when creating projects from files found in the folder.

If you haven't yet created a template go to File->Setup->Project templates and create some. Return to the TransPDF plug-in and select one for your new watch folder.

Now you can add sub-folders to your watched folders. These should contain any documents you want to translate including PDFs. The plug-in will create a new project for each sub-folder it finds.

In the example shown, the plug-in has found folders 'donner group' and 'kennedy kitchens' inside the 'PDF - FR-De' watched folder.


Creating projects

When the plug-in finds folders representing project requests inside your watched folders, it lists them in the Requests Found area. Click on a request to see the files inside it.

Press in the toolbar at any time to check for new projects requests.
Press when you're ready to convert them into Trados translation projects.
To make just a single project, click on it in the Project Requests Found list then press .

If you see Storage Quota Exceeded then press in the toolbar to visit your TransPDF account. There you will be able to remove unwanted documents to free-up space.


Wait for a little while...

Each PDF will be converted into XLIFF and added to the new project. Depending upon the size of each PDF, the conversion can take anywhere from a few seconds to a few minutes.

On completion, the old requests are archived into a sub-folder called Accepted Requests for safe-keeping. You should also see the new projects in the Projects view in Trados Studio.

Now you can start translation work on the projects just created.

If the process gets stuck or seems to be taking a very long time, press in the toolbar to visit your TransPDF account. There you will see what's happening in more detail and can get in touch with us if there is a problem.


Generating PDF previews

Use Trados Studio to Generate Target Translations as you would normally then switch back to the TransPDF plugin.

Click on the Watched Projects tab. When it created your projects, the plug-in added each project folder to this watch list so that it could monitor them for updates.

Press to list all the PDFs that need to be re-generated as a result of any changes you've made to their XLIFFs.

To view a PDF preview, click on it in the Translated PDFs list and press .

You can also press in the toolbar to generate fresh previews of all the PDFs in the list.

If you see Storage Quota Exceeded then press in the toolbar to visit your TransPDF account. There you will be able to remove unwanted documents to free-up space.


Side-by-side comparisons

Select a PDF from the Translated PDFs list and press . If you don't have Infix installed, a web page will open with instructions for how to download it. Infix is free to use for editing documents from TransPDF.

Once the preview has opened in Infix, choose Translate->Compare Horizontal from it's main menu bar. You'll be asked to supply your TransPDF account details.

Infix will download the original PDF and show it and the translated version side-by-side. You won't be able to edit either side since one is the original and one is just a preview. You can still look through and see how your translation looks.


Getting the final PDF

Select a PDF from the Translated PDFs list and press . If you don't have Infix installed, a web page will open with instructions for how to download it. Infix is free to use for editing documents from TransPDF.

Once the preview has opened in Infix, choose Translate->Download Final PDF... from its main menu bar. You'll be asked to supply your TransPDF account details.

At this point Infix may ask if you want to fix any remaining font problems. You should try do so since it will make your PDF much better.

If you are using a free copy of Infix, you will have to use some of your TransPDF credits in order to complete the download. Downloads are normally free for users with a valid Infix license.

If you don't want to use Infix to get the final PDF then press in the toolbar to visit your TransPDF account. There you will be able to fix any font issues and download the final PDF.


Tidying-up your PDF

When you open the final PDF in Infix, it will list all of the text that you may need to look at. This is text where the translation is longer than the original and had to be squeezed in order to make it fit.

You can often ignore minor size changes of 15% or less. Resolving a larger change may involve simply making a text box a bit bigger - something that's trivial to do in Infix.

Click on Help in the dialog for more information.

You can do this tidy-up using any sufficiently capable PDF editor. However, TransPDF embeds clues in the PDF which Infix uses to help you work through problems more quickly.
